How do you stay in touch with your sphere of influence without feeling like you’re bothering them?
Sometimes it feels easier to talk to strangers than to reach out to people you already know. However, staying connected with your existing clients is so much easier than constantly hunting for brand-new clients. Moreover, repeat clients or referrals are far less expensive to acquire than a completely new lead.
So, here’s how we do it in a way that’s helpful, natural, and keeps us top of mind.
1. Provide value. One of the first things to focus on is providing real value. On our team, we host events. This gives us an easy way to reach out to clients, whether it’s a call, text, or invitation. Even if they can’t make it to the event, the invitation itself is a touchpoint that shows we’re thinking of them.
After the event, we follow up personally, checking in and catching up. This approach lets us stay in contact without just calling to ask for referrals. Offering value makes the conversation natural and low-pressure, and it’s something our team members love because the events are ready to go—they just invite their people.
2. Mix up your communication methods. It’s important to meet your clients where they are. Not everyone wants a phone call, and some people might be at work or busy when you call. That’s why we mix it up between texts, social media messages, comments on posts, emails, and even postcards.
By using multiple channels, we make sure we’re visible without being overwhelming. You never know which method will connect with someone, so it’s good to cover different bases. Even if they don’t respond right away, being present across channels keeps us top of mind for when they do need real estate help.
3. Be consistent. Consistency is key, but you don’t want to overdo it. We like to split clients by the first letter of their last name and make sure we reach out to everyone at least once a quarter. We’re careful not to be overbearing, but we want to be the person they think of when they’re ready.
Reaching out about something relevant, like something happening on social media or in their lives, keeps the conversation meaningful while maintaining regular contact. Staying consistent without being annoying helps build long-term relationships naturally.
Leverage systems and technology. We rely heavily on our database and systems to make this manageable. With hundreds or even thousands of contacts, it’s easy to lose track of who we’ve reached out to or who needs a follow-up.
Preprogrammed messages for birthdays, anniversaries, or event reminders help keep us organized. This way, we can maintain regular contact without feeling overwhelmed, and nothing slips through the cracks.
